In connection with sending a job application to SmartResponse A/S, it is important to familiarise yourself with SmartResponse A/S’ policy for processing your personal data. This applies whether you are sending an unsolicited application or replying to a job vacancy.

SmartResponse A/S’ processing of personal data and contact information
The personal data you provide in connection with the submission of your job application or otherwise as part of the recruitment process is only used and stored for use in the recruitment process, as well as for any appointment to a position.

SmartResponse A/S processes your personal data confidentially and in accordance with the applicable personal data protection legislation.

Disclosure of personal data to third parties
In the event that we use external companies in the recruitment process, including recruitment agencies, providers of personality tests, etc., it will be stated in the job vacancy.

Disclosure of your personal data to any third parties is subject to written agreements with the parties concerned, who comply with the applicable rules, including requirements for confidentiality and the deletion of data at the end of the recruitment process.

Obtaining references and background checks
Since SmartResponse A/S has a legitimate interest in finding the most suitable candidates for a job at SmartResponse A/S, we obtain references from previous employers, educational institutions or other relevant parties. Therefore, during or after the first interview you will be asked to consent to us obtaining references that we can contact if we determine that you shall continue in the process.

In some situations, depending on the nature of the position, we will make a background check by searching for information about you via publicly available sources such as LinkedIn, Facebook, Google, the company business register, etc., to the extent that we believe that the information is relevant to the performance of your job. We do this with a legitimate interest in ensuring that we recruit the best candidate – both professionally and personally.

You have the right at the job interview, and otherwise on request, to ascertain what specific data we have collected about you.

Sensitive data
SmartResponse A/S shall not collect any sensitive personal data (including health information) without your express consent. In connection with your application or no later than the first interview, you are encouraged to disclose any health conditions that will have a significant impact on your ability to perform the job you are applying for. You actually have a duty to disclose this information in accordance with the Health Information Act.

When recruiting for particularly highly trusted positions, for example, as chief accountant, it may be appropriate to obtain information from third parties about your financial circumstances (e.g. from a credit reporting agency). If this is relevant to the position you are applying for, we will obtain your prior consent.

Storage of personal data
SmartResponse A/S stores data about employees at external suppliers within the EU/EEA. The collaboration with suppliers is subject to written data processor agreements that comply with the applicable rules. SmartResponse A/S verifies that the data processors used by SmartResponse A/S have adequate IT security.

The data is stored and processed in a manner that ensures that only relevant people at SmartResponse A/S, including the HR manager, have access to your data.

Period for storing personal data
SmartResponse A/S stores your application and other data until SmartResponse A/S has assessed the application, and if there is a specific vacancy until SmartResponse A/S has conducted and completed the recruitment process, however, for a maximum of 6 months. If you are employed at SmartResponse A/S, your application will be stored for the duration of your employment.

If you have taken a personality test in connection with the recruitment process, the result of this will be stored for up to 6 months after it has been taken unless you give consent for longer storage.

If you are not offered the position, but we believe that there may be a need for someone with your qualifications in the foreseeable future, we may ask you for permission to keep your application for longer than 6 months.

Rights
You have the following rights regarding SmartResponse A/S’ processing of your personal data:

  • The right to inspect the personal data that SmartResponse A/S processes about you. We will reply within a reasonable time, but no later than a month after your enquiry
  • Right to correct erroneous information
  • Right to delete data that is no longer relevant, for example, if you choose to withdraw your application.
  • Right to object to continued processing
